Congratulations are in order because you did it - you made an appointment!

We appreciate that this can be a significant step in seeking support for yourself and requires bucketfuls of courage. Prioritising support for ourselves in any way can be difficult; seeking healthcare when you may have  had less than desirable experiences in the past is scary, especially when it comes to seeking support with your relationships with food, body image and diet culture.

Thank you for trusting Eat Love Live and our clinicians with your care. Eat Love Live was established 15 years ago and has evolved in response to learning from lived experience, reflecting on our clinical practice and my own experience as a dietitian supporting people with eating disorders for over 20 years to be the organisation we are today. 

We aim to create a space that feels safer to support people like yourself to build a more positive and healthful relationship with food and their bodies. We assist people in making lasting changes to their health behaviours and look forward to not only working collaboratively with you, but supporting and empowering you to drive your own treatment.

While nutrition and dietetics are the foundation of what we do, we're excited to now support clients through physiotherapymusic therapy and dance therapy, with additional therapeutic modalities to come. 

Whether this is your first time seeking this kind of support or you've seen other health professionals in the past, we've put together this Welcome page with you in mind - to introduce you to who we are and what we do, answer questions about all things appointments as well as detail our practice policies.

We hope this page can point you in the right direction if you're feeling a little lost (this kind of work you're doing is a LOT, let alone remembering all the fine print) however if you can't find what you need, please reach out to our friendly reception team.

About Eat Love Live

Eat Love Live is a team of dietitians and health professionals who help clients heal relationships with food and the body holistically, and with heart.

We can provide support with a range of general health concerns and chronic illnesses, specialising in nutrition counselling, eating disorder treatment and support with disordered eating - all from a socially justice informed, weight neutral, inclusive lens.

Our client services currently include dietetics and nutrition, physiotherapy and music therapy; with education and supervision on offer to health professionals via Eat Love Live Education.

Preparing for your appointment

Administration prior to your first appointment

There are a number of online forms our clinicians and the Eat Love Live reception team need you to complete in order to set you up as a client in our system and ensure we have everything we need to book and confirm future appointments, process your invoices (and Medicare rebates if applicable) and ensure you're aware of our practice policies and procedures. 

Upon confirming your appointment, you will receive the following three forms to complete via an automated email. It is essential that these are completed prior to attending your first appointment:

  • New Client Form
  • Confidentiality Agreement
  • Pre-Assessment Questionnaire (Please only complete this if you did reach out to Eat Love Live this way initially or if you completed this as part of selecting a clinician to work)

If you do not receive a confirmation email after booking your first appointment, please check your Spam folder before letting reception know on (03) 9087 8379 or reception@eatlovelive.com.au. This is vital, as we may have an incorrect email address for you and will therefore be sending all Eat Love Live communications to the wrong place! 

If you have lost your confirmation email or require these forms to be sent to you again, please let us know and we can easily resend. 

If you are an NDIS client (in particular, are plan managed and require invoices to be forwarded to an NDIS Plan Manager o your behalf), you will also need to complete: 

  • NDIS Service Agreement

If using NDIS funding for appointments has not been communicated prior to booking your first appointment, please notify reception on (03) 9087 8379 or reception@eatlovelive.com.au so the NDIS Service Agreement can be forwarded to you, a support worker, carer or family member to complete. 

Administration on the morning of your first appointment

The morning of your appointment, you will receive an SMS link regarding our policy of saving cards on our secure payment program, Tyro Health. 

For all telehealth appointments, Saturday appointments and appointments after 5:00pm we require card details to be saved on our secure payment program, Tyro Health. Clients are able to pay via EFTPOS when attending face to face appointments.

What to bring with you to your first appointment

If you are wishing to claim a Medicare rebate for your appointment/s, your clinician and the Eat Love Live reception team will require copies of any GP referrals and Medicare rebate plans created under your name (e.g. an Eating Disorder care plan (EDP) or Enhanced Primary Care plan (EPC)). More information regarding Medicare care plans here.

If you don't have a copy, and you're happy for us to do so, we can call your GP with your consent. You will just need to provide your GP's name and the clinic they're located at.

How to pay for your appointment/s
Payments for sessions are to be finalised on the day of consultation.

As mentioned above, Eat Love Live requires that credit card details be saved on our secure online payment system for all telehealth, Saturday and appointments after 5:00pm. Some clients who attend face to face and want to be able to dash off after session also choose to have their credit card details saved for convenience!
After a face to face session, you can make payment with reception on your way out. 
For telehealth sessions, reception will charge the credit card stored in our secure online payment system, Tyro Health, once your session has been completed. A receipt for fully paid appointments will then be sent via email to your nominated email address for your records. This receipt can be used to assist with self-managed NDIS or private health insurance claims.
For plan managed NDIS clients an invoice will be sent to the nominated person or organisation at the completion of you in person or telehealth session.

If you are strongly against having your credit card information stored in our secure online payment system, we can accommodate this by forwarding an invoice or SMS with a link for payment or payments can be made via bank transfer (Please ensure you include the invoice number (e.g. #00076543) and your name in the payment description). Please reach out to reception and let them know so alternative arrangements can be made. 
If your card isn't able to be charged on the day

We appreciate that at times that funds may be unavailable at the time our reception team charge your card for your appointment. Similarly, we understand that credit cards expire or that accounts may have particular faults.

In these instances (if charging your card via our secure online payment system has been unsuccessful), Eat Love Live will send you an SMS payment link to pay for your session. We will notify you via email if this is, stating the reason we were unable to charge your card for reference.

Paying for appointments when reception is closed

If reception is unattended and your appointment is face to face, or if you are attending an appointment outside of business hours (Monday to Friday, 9am - 5pm), our reception team will charge the card you have saved in our secure online payment system within 24 hours of your appointment.

A receipt for fully paid appointments will then be sent via email to your nominated email address for your records. This receipt can be used to assist with self-managed NDIS or private health insurance claims.

Our Payment Policy

Payments for sessions are to be finalised on the day of consultation.

If a client fails to attend the appointment or cancels with less than 24 hours notice, the full cost of the appointment will be charged to the credit card on file. More details on our Cancellation Policy below.

Payment is to be made in full before a claim is made by Eat Love Live on a client's behalf to Medicare (for clients who have an Eating Disorder care plan (EDP) or Enhanced Primary Care plan (EPC) in place. * Please note that we do not bulk bill for services and there is a gap payment. More information regarding Medicare care plans here.

For clients whose carers, parents or a third party are paying the invoice it is the client's responsibility to ensure that the correct details are provided to reception for communication regarding payment. Our booking system allows multiple phone numbers to be saved for reminder texts.

Outstanding Accounts Policy

For payments that have not been made on the day of session, outlined below is Eat Love Live's outstanding account procedure:

  • Clients will be emailed and phoned regarding the outstanding payment

  • Clients are unable to attend their next appointment until payment has been made

  • Clients will be reminded to pay for 4 weeks, then the matter will be referred for debt collection

We appreciate that finances are individual, sensitive and access can change. If there are any concerns regarding ability to pay fees, please contact your practitioner or reception ASAP so we are aware and a plan to support you can be put in place.

We are open to a payment plan as needed and understand that clients may be waiting for incoming funds to make payment. With this information, we are able to support you.

How to book an appointment 

Booking a review your new clinician can be done the following ways:

How to contact/share information with your clinician

After your first appointment with a clinician, and after subsequent appointments, you may need/wish to provide information with them that's beneficial for your care. This may be a referral letter from a GP, pathology report, an EDP review or a treatment related message

Please email any digital files or messages you would like forwarded to your clinician to: reception@eatlovelive.com.au. Alternatively, hard copies of files can be given to reception to scan/photocopy and forward to your clinician.

If you don't have a copy of what you need to provide your clinician with, and you're happy for us to do so, we can call your GP with your consent. You will just need to provide your GP's name and the clinic they're located at. 

CANCELLING/RESCHEDULING your appointMent/S

How to cancel or reschedule your appointment 

If you need to reschedule or cancel a future appointment you have booked, you can do so the following ways:

Our Cancellation Policy 

We appreciate that illness and other things come up unexpectedly in life, however it's important to communicate this with your clinician or our reception team.

Our clinicians time is highly sought after for the incredible care they provide, with many having extensive daily waitlists. If you need to cancel or reschedule your appointment at short notice, we therefore have a strict policy in place. 

The full fee of the booked appointments will be charged as a cancellation fee when: 

  • Less than 48 business hours hours notice is given
  • If you fail to attend the appointment 

​If you are unsure you will be well enough to attend due to illness, we recommend you reschedule with more notice so the space may be offered to someone else on the waiting list. This courtesy will in turn then be shown to you at the times you are unable to secure an appointment at an appropriate time and may be on the waiting list.
